Hosting a community event

Top tips: Hosting a community event

Hosting a community event fosters strong relationships between families, staff and the wider community. It creates a sense of belonging, encourages parental involvement and supports children’s social development. Events also provide opportunities for learning through play, cultural celebrations and community partnerships. Additionally, they can raise awareness, support local causes and enhance the nursery’s reputation, making it a valuable experience for everyone involved. Here are some top tips for managing a community event.

Top tips for hosting a community event

  1. Decide what you want to achieve, such as fostering community engagement, celebrating a season or milestone or raising awareness for a cause. Then establish what success looks like—whether it’s community involvement, raising funds or simply creating a fun atmosphere
  2. Ensure safety by conducting a risk assessment for potential hazards like crowd control, fire exits, etc.
  3. Have first-aid trained staff or volunteers on hand and ensure all emergency procedures are in place. Be mindful of food allergies and dietary needs of both children and adults
  4. Make sure the event location is accessible for all attendees, including those with mobility challenges or other additional needs
  5. Estimate costs for the supplies, food, entertainment and promotional materials
  6. Use social media, flyers, newsletters and local networks to promote the event to parents and the wider community. Ensure that invitations reach a broad audience and cater to diverse families within the community
  7. Plan age-appropriate activities that engage children, such as arts and crafts, games or performances. Include entertainment that is enjoyable for both children and adults, like music, storytelling or local performers
  8. Involve parents and children in planning or volunteering to create a sense of ownership and community spirit
  9. Provide clear information about the event’s time, location, activities and any specific requirements or guidelines for attendees. Keep families informed in the lead-up to the event through regular updates
  10. After the event, gather feedback from parents, staff and the community to learn what worked and what can be improved for future events. Show appreciation to volunteers, sponsors and attendees through thank-you notes or messages.
